Little Island is seeking a dynamic, highly organized Executive Assistant to support the Producing Artistic Director and Director of Artistic Programming. In this pivotal role, you’ll be key to ensuring the seamless execution of Little island’s creative programming, helping to bring our artistic vision to life in alignment with the park’s values.

Artistic Programming
Little Island’s artistic programming is dedicated to creating new work in dance, theater, music, and opera. In 2024, the Island launched a commissioning program that featured nine world premieres from distinguished creators, including Twyla Tharp, Anthony Roth Costanzo, Davóne Tines, Henry Hoke, Pam Tanowitz, Britton Smith, Qween Jean, and Chris Thile. By collaborating with artists across genres and disciplines, the program aims to create unique collaborations and projects for our outdoor stages and help ensure their continued success in the future.
About the Role
- Salary Range: $70,000 – $75,000
- Job Type: Year-Round
- Employment Classification: Full-Time, Exempt
- Schedule Expectations: Core company hours are Monday-Friday 10:00am – 6:00pm. Flexibility to work evenings, weekends, and holidays is required as needed to fulfill the job responsibilities.

What You’ll Do
- Manage the Producing Artistic Director’s daily calendar, coordinating internal and external meetings, events, and travel while ensuring timely communication and adjusting to shifting priorities.
- Assist with the facilitation of the Producing Artistic Director’s workflow by flagging important emails, prioritizing tasks, and drafting correspondence.
- Prepare agendas, presentations, materials for meetings, along with managing hospitality arrangements for guests and artists.
- Organize and facilitate departmental meetings, capture detailed notes, and follow up on action items. Assist with coordination and logistics for special events and hospitality offerings.
- Maintain and update internal documents including the Programming Overview. Stay on top of cultural events in and around NYC, and work with the Associate Producing Artistic Director to schedule staff for relevant events.
- Process credit card reconciliations, handle department-specific invoices, and track project-related expenses, ensuring adherence with financial protocols.
- Oversee the tracking and booking of VIP and emergency ticket allocations for Little Island events and performances.
- Assist Producers with project specific logistics as needed.
- Coordinate travel and accommodation for team members and artists.
- Support the Associate Producing Artistic Director and Producers with development processes, including coordinating the Dramaturg’s schedule, arranging work sessions, logistics for casting sessions, and artist communications
- Attend production and design meetings, tech rehearsals, and other relevant events as needed
- Perform additional duties as required by the Producing Artistic Director or Director of Artistic Programming in support of the Artistic Programming Department and park operations.
What You Bring
- 4+ years’ experience in performing arts administration, specifically providing administrative support for a senior leader in a non-profit, public space, or entertainment organization.
- Sharp problem-solving and strong time-management skills. Able to anticipate needs, prioritize tasks, and manage competing deadlines.
- Excellent written and verbal communication skills. Ability to represent Little Island’s mission and values across a variety of stakeholders.
- Proficient in Microsoft Office Suite (Excel, Outlook, SharePoint), with experience using organizational tools like Propared and Airtable.
- A love of the arts, public spaces, and the vital role they play in local communities. Interest in working closely with artists of all disciplines.
- Strong collaboration skills and a desire to contribute to a positive, inclusive team culture.
- Ability to remain stationary for extended periods, climb stairs, and occasionally lift up to 10 pounds.
- Must be eligible to work in the U.S.

- Park employees will spend time onsite at Little Island working in outdoor weather conditions, navigating the entire park multiple times a day, and interacting with park visitors to ensure operations are running effectively.
